How CAQA Legal protects the confidential documents, instructions and information entrusted to us.
This Confidentiality statement explains how CAQA Legal, part of CAQA Groups and a Career Calling International Pty Ltd initiative, protects the confidential information entrusted to us by the organisations and individuals who use this website and our documentation services. Confidentiality sits at the centre of what we do. Clients send us agreements, policies, registers, correspondence and internal records so that we can draft, review and improve them, and that work is only possible when the material is handled with discretion at every step.
This statement applies to the registered training organisations, higher education providers, schools, businesses and government teams that engage CAQA Legal for student and client agreements, third-party and partnership agreements, policy and procedure suites, privacy packs, contract reviews and redlines, template libraries, plain-English rewrites and obligation and contract registers. It also applies to visitors who make an enquiry through this website before any engagement exists: material you share with us while scoping a request is treated with the same care as material shared during paid work.
We treat as confidential the documents you provide for drafting or review, existing contracts and their negotiation history, policy and procedure material, board and governance papers, audit findings, obligation and contract registers, commercial terms and pricing, dispute-related material, your instructions and correspondence with our team, and the personal information of your staff, students and clients contained within those materials. Information is treated as confidential whether or not it is marked confidential, and whether it reaches us through the form on our contact page, by email to info@caqa.com.au, by phone on 1800 266 160 or in the course of an engagement.
Access to client material is limited to the team members working on your engagement. Documents are stored on access-controlled systems, drafts are returned through the channels you nominate, and material is used only for the engagement it was provided for. We do not publish, showcase or reuse client documents as marketing samples, and we do not use one client’s confidential material for the benefit of another. When an engagement requires a formal confidentiality deed or non-disclosure agreement before sensitive documents change hands, we are glad to put one in place; drafting them is, after all, part of what we do.
We disclose confidential information only in limited circumstances: with your consent; where disclosure is required by law, a court or a regulator; or where you ask us to involve a practising solicitor or barrister in a specific legal area, in which case the practitioner receives the material under their own professional confidentiality obligations. CAQA Legal is not a law firm and we are not solicitors; our team of professionals have completed a Master of Laws (LLM), and we work with practising solicitors and barristers where formal legal advice is required. If a regulator or other body requests information beyond what the law compels us to provide, we refer the request back to you before responding.
Templates, policy suites and other documents we supply are licensed for your organisation’s internal use under our Template Licence. Keeping supplied documents within your organisation, and keeping our working drafts and commentary out of public circulation, protects the value of the material for you and preserves the confidentiality commitments we make to every client.
Personal information collected through this website is limited to what you choose to provide when you submit the contact form, request a document or subscribe to The VET Sector newsletter, together with routine website analytics. How that information is collected, held, used and disclosed is explained in our Privacy Policy, which operates alongside this statement.
No payments are taken through this website, so no payment card or banking details are collected here. Document services are scoped, quoted and invoiced separately by Career Calling International Pty Ltd (ABN 53 162 651 238), the entity that operates CAQA Legal. Engagement records, invoices and correspondence are retained for as long as required for legal, accounting and professional purposes and are then securely destroyed or de-identified.
